Multiple Column Dynamic Dependent List
Jun 18, 2014
I am attempting to create a form in excel with dynamic data validation fields. What has me stumped is that I want to create multiple complex dependencies (for instance, if you select something from a drop-down list in the first field, that then gives you a specific range in the second field. Then based on what you placed in the second field it gives you a specific range in the third field.). What I can't seem to work out is the formula for making this work.
Is this impossible? Also sometimes the third field my be blank.
Here is an example of what I am trying to accomplish

I need to create a 2-stage dependent drop down list.
Stage 1:
In cell G7 (on a tab called 'Data'), I have created a drop down list based on a range name called 'Region' .
Stage 2:
In cell G8, I need to create a drop down list which is dependent on the value chosen in G7.
Problem is, I will need to create a dynamic range name here which needs to vlookup or match the value from G7 in a dynamic list of data (the data is on different tab called 'RCA Data' and is spread over columns A:E with row A for headings - the data will go down an undetermined number of rows)
Every time the value in G7 matches a value in the 'RCA data' (the potential matches are stored in column
D) I need the corresponding cell value in column C to be added to the dynamic list. This list then needs to be available to choose from a drop down list in G8.

I have been asked to edit a worksheet for a client, they want me to create a dependent drop list using existing data from three columns.
I have created a dynamic named range and used and index to create the drop down list, which seems to work correctly. I run into a problem with I try to add the list to more than one column, as it obviously pulls in values from the Helper sheet I have used.
When the user tries to select values in row one after making a selection in row two, the values available for selection are incorrect.
Is there any way to have a three column dependent drop list that can be used in more than one row?
I have uploaded the file here: ownCloud
The information on the tab named 'Cabling Ducts' is used in an index on the 'Helper' sheet to remove duplicate values. The drop down list columns appear in 'CS 1' under the headings 'Cable Type', 'Size (mm)' and 'Cores'. Helper sheet is self explanatory.

There are other dependent drop-down list posts on this forum, but none of them are talking about working with multiple worksheets. I have three worksheets, one called "Main", one called "Universities", one called "Schools".
One the "Main" worksheet, I have two Combo Boxes (the one from the "Form" toolbar). I would like to first pick a university from the combo box and then based on the selection, the second combo box would give me just the schools in that specific univeristy. My guess on how to link the two drop-down list is by the ID column. If I select "University of Washington" which has an ID of "WAS" it would narrow down the second list to ID with "WAS" in it (Which would be "WAS1", "WAS2, etc). The reason I am using Combo Box is because of the "Link Cell" property which give me an output of the number of the selection into a cell. I will use that to get the corresponding ID. I have attached an example to this post.

I have three individual lists and I am using a formula like this for each of them =OFFSET(Table1,MATCH(F15,Table1,0)-1,1,COUNTIF(Table1,F15),1)
for my final cell I need to create another data validation list which is depenant on the values selected in the previous three lists.. how I would alter the formula to allow me to do that? I tried using and after the match to match all three tables but it never worked

I have a list drop down that is dependent on a first list. The first list has numbers, spaces, and "-" at the beginning I need to get rid of to make it a valid name to reference. The "Substitute" function can't be nested enough times to make this work for me since I have a fairly lengthy list for the independent column which has differing numbers at the beginning. The first two examples of the independent drop down (which would dictate the second dependent column and drop down) are:
00 - Preconstruction
01 - General Conditions
I would like to name these something like "Preconstruction" and "GeneralConditions" for valid naming convention.
Second thought:
If character removal isn't the most efficient or possible at all, is there a combination of reference functions that could make this work? Ultimately I want to use these 2 drop downs for reference functions on a second worksheet.

Situation:
I have two drop down lists 1) Country and 2) States/province
Country has list: [US, Canada]
If "US" is selected, [Arizona ,Florida, NewYork] is listed in the 2nd drop down list
If "Canada" is selected, [Alberta, Ontario, Quebec] is listed in the 2nd drop down list
Scenario:
First, I select "US" and choose the states to "Florida"
Next I change the country to "Canada" and forgot to choose province
Then, the 2nd dropdown list is changed to [Alberta, Ontario, Quebec],
BUT the current value is still "Florida"
Probem:
Now I have "Canada" and "Florida" selected in the sheet
Question:
If the primary list is changed, can I make the 2nd drop down list to show a default value (e.g. blank or the first entry i.e. Alberta)?

What I am looking to do is this... (using Excel 2007)
I need to have more dependent lists based on the selection in Column A. (My column B is already set up and works perfectly using INDIRECT)
For example:
Column F would be a dependent list of colors based on the sales rep chosen in Column A
Column I would be a dependent list of managers based on the sales rep chosen in Column A
Column M would be a dependent list of part numbers based on the rep chosen in column A
without using VBA? (If I HAD to - okay, the other person maintaining the sheet would be lost....) I haven't been able to find anything close to what I want to do online - maybe I am just not using the correct terms.

I would like To display product information in a multi column listbox. Column 1 is a product category and Column 2 is the product description. Now for the dynamic part. I would like to have a combobox loaded with non duplicated values of column 1 of the listbox. When "~Caulking~" is selected from the combobox. The listbox is to display only the "~Caulking~"products and their description. And having a value of "~All Items~" placed into the combobox will display All products in the listbox.
The sheet that will contain the raw data source can/will have items added to inceacing the row count. Also the sheet will be left in an unknown sort by column state. I thought of taking the raw data source and copying it to a new sheet and splitting the data into various columns, Eg 1 column for "~Caulking~" another for "~All Items~"... and then removing the sheet on userfrom completion. Or possably using collections or scripting dictonary or anythink that works well.

I have a list of named cells (i.e. Group1, Group2, Group3, etc)
I have a form control that allows the user to select which of the groups they would like to include.
I need to create a series of formulas that average the price of all the chosen groups. So if they just want to average Group1, Group3, Group5 they could do so by simply selecting the checkboxes associated with those names.
I am struggling to be able to create a formula which will look at the list of chosen values and Average only those names. If all groups were chosen this would be easy as I would simply use the:=Average(indirect(a1),indirect(a2)...and so on. However that assumes that I always know which values are being chosen. I have a fixed list of choices but if they don't choose one of the options then the indirect statement will be referencing a null value which than either returns to me a #REF or will factor in a '0' which then throws off the average.

I need the drop down menu to update when the user adds a new entry. For example, if the user decides to add companies to the financial table, no matter how many new rows they add, our drop down menu at the top will update to include the new the entries. I want this to be the case in every table. How do I do this?

I am unable to use dependent data validation lists using the INDIRECT function when the initial named range is a dynamic one.
See attached.
The named ranges 'Men','Women','Children' are all dynamic based on number of entries in each column order to accommodate a growing list, whilst also not having blanks in the dropdown (hence I haven't used entire column ranges). The named range 'test' is a static one.
Column H has a dependent data validation based on entry in Col G. This works for the static list, but not the dynamic one!

I have a spread sheet that has three sheets, PROJECTS - TIMES - LISTS Time sheet.xlsx PROJECTS contains a list of 'In Progress' and 'completed' projects for work, with relevant other data, I.e. PROJECT No. / STATUS etc This will grow to 1,000's of rows TIMES will contain the amount of time a person spends on a PROJECT on a daily basis. This will grow to 10,000's of rows LISTS contain basic validation list for the first 2 sheets.
Part A
I would like to have a validation drop down list for the PROJECT NO column in the TIMES sheet that only lists the PROJECT NO from the PROJECTS sheet where STATUS <> COMPLETED. I.e. I only want to display the PROJECT NO's for current projects.
Part B
Even though I only want the PROJECT NO used, can the drop down list also contain other column's data for reference information only before one is selected.

i have a list of serial numbers in a column, say column a, for example, and i have corresponding data in columns to the right of this, say just column B for example- I also have a header on column B which counts the data in column b. (just a COUNTA, counting occurences of 'x' )
my issue is this: i need to limit the range of the COUNTA dynamically- by the number of serial numbers in column A. for example: if i have 10 serial numbers, i want my COUNTA range to be B1:B10 (excluding header) and... i need this to be a built-in formula, NOT a VBA macro. i need it to update automatically, as soon as another serial number is entered. i've tried using references to named ranges and all sorts of language tricks, and i cant seem to get it to work. (such as:
' =counta(b1:namedrange1)
i'm going to have to do the same thing with COUNTIF's, so if that is also easily explainable,

I have a complicated situation with Excel since I need a formula that can SUM data from the Pull 1 worksheet into the summary Sheet. I attached my sample for your reference because it is a bit complicated therefore I can not explain. It is better if you look at my Summary Sheet, need formula that can retrieve the same information.

I have data that resembles (I have also attached an example workbook as well if that is easier)
Column A.................Column B................Column C..................Column D.............Column E................Column F
Year.......................Quarter...................Month..................Product-Code...........[data A]................[data B]
2013.........................Q1.........................Jan........................SD-21...................13%......................0.05%
2013.........................Q2..........................Apr........................NV-12...................7%.......................6%
etc
I am hoping to have, on another sheet, a series of dependent drop boxes- Year, Quarter, Month, SKU- which after selecting then displays 'dataA' & 'dataB'.
So you could select- List 1: 2013 ----> List 2: Q1 ----> List 3: Jan ----> SD-21.................and then 13% and 0.05% are displayed.
The data will be continuously added to and so needs to be based on a dynamic data range.
I know that a pivot table is the perfect way to do this, however my bosses have requested that I do not use that format so it is easy for all staff to access.
So I think I need to construct some sort of dashboard sheet, I have experimented with OFFSET from other posts, but so far have had no joy.

I'm currently working with 3 dropdown lists depending on each other using data validation and =indirect(). I arranged them like in a top-down approach where you have a mother-list and child-lists (categories-->subCategories-->subCategoryCriteria). The user should easily chose first a category then a subCategory etc... This part works perfectly
My question is: when a user chose in the dropdown list e.g. a category, a subCategory and a subCategoryCriteria and he now maually deletes the value in the highest level, which is the Category (mother-list), all sub level values like subCategory and subCategoryCriteria will stay. It shouldn't be that way, because it's not logical. If you turn a tree upside-down (top-down approach) and cut one of the higher positioned trunks, all lower positioned trunks will fall off as well, right? So, my question is: can I use a conditional formatting or a formula to delete or fade out the value in the lower lists when the higher list value is being deleted?
I tried to use If-formula in combination with indirect in data validation, like =IF(A1="";("");INDIRECT(B1))...just and example.
The value doesnt need to be deleted, it could also be automatically face out like white on white or something. It's just confusing for the user if he deletes the highest choice and the lower choices still stay.

I have a huge database. The rows are broken up by the groups. The columns are broken up by months, quarters, and totals. All the named ranges are the same exact size because all groups have the same category names and all columns have the same amount of months and quarter columns. So it sort of looks like this
Actual 2006-----------------------------Actual 2007
Group Category Jan Feb Q1 Total-------Group Category Jan Feb Q1 Total
100 Labor Cost 220 130
100 Labor Cost-Expense
Group Category Jan Feb Q1 Total
101 Labor Cost
101 Labor Cost-Expense
Hopefully this gives you a good idea of what the spredsheet format is. Right now I have named ranges for all the groups and years. So the top left name is A06_100, then it goes A06_101, etc. What I'm trying to do is set this up as easy as possible to insert rows in the named ranges and keep the named range, because they are referenced a lot in other worksheets. Also if any columns get added. Basically I want it as user friendly as possible so when people change things it stays together.

This example workbook contains a datatable, which is inputted via a userform. The datatable has 4 columns: Date, Invoice no., Loads, Tonnage. This table is dynamic, as a new row gets entered each time data is entered in the userform. A different userform (the one in the example) has comboboxes which refer to the data in the table. This userform asks the user for the Date, Invoice no., Loads and Tonnage. I want to use comboboxes so that they will advise the input based on the users previous input.
The first combobox asks the user for a data, and should contain a list of all the unique dates that are stored in the table. When the first combobox is inputted, the list for the second combobox will change. The list of the second combobox should be a list of unique invoice numbers, based on the date that has already been entered. The 3rd and the 4th combobox should also show a list of unique values, based on the previously entered date and invoice no.
Example: The first combobox should advise the dates: 4-Nov-14 and 15-Nov-14. User chooses 4-Nov --> second combobox should advise unique invoice numbers based on chosen date: 1252 and 1311. User chooses 1152 --> 3rd combobox should advise unique values based on previous values: 3, 8 and 7. 4th combobox: 57, 23 and 47.

i.e.
First dynamic range: called "Milestones" at A11
Second dynamic range: called "Activities" at A25
& make a Validation list that will list content of both

I created a spreadsheet with a list of cities and attractions in those cities. I want an attraction drop-down menu (cell validation) to be dependent on the city that’s listed in the cell above it. I used the below formula: =INDIRECT(SUBSTITUTE(SUBSTITUTE(SUBSTITUTE(SUBSTITUTE($H$1,"-","_"),", ","__"),". ","__")," ","_"))
This works fine on cities with a dash in them (McGhee-Tyson) or just a normal name (Washington, DC). However, I cannot get the attraction drop-down to work if I select a city with a period (St. Louis, MO) or a space (San Antonio, TX). Am I missing something in the formula? I attached a spreadsheet as an example. I use Excel 2007, but saved the spreadsheet in Excel 97 – 2003 format.

I have a dynamic table which is linked to a couple of charts. The table must remain dynamic.
I needed to add two new columns to the table, "Focus Area" and "Category". I need a drop down list in the "Category" column to be dependent on the item selected from a drop down menu in "Focus Area".
I can get the first row of the dynamic table to do this.... however; subsequent rows all lock the drop down list in the "Category" column to the same choices regardless of what is chosen in the "Focus Area" list.
Is there a way to make dynamic drop downs within a dynamic table?

I am trying to have a drop down list which is dependant on the result of a cell.
For example, if cell A1= CAT, then cell A2 should have a 'drop down list 1'; if cell A1=DOG, cell A2 would have 'drop down list 2'; if cell A1=RABBIT, cell A2 would have 'drop down list 3' etc.
Creating the drop down list is easy, I just want to know if it's possible to have different drop down lists depending on the result of a cell.
