Pivot Table - Adding Data And Refreshing
Oct 17, 2011
Its been ages since I used a pivot table and I cant remember much.
I did one last week - lets pretend on the range A1, B100.
Ive since added some extra info into the range and it now goes from A1, B110.
I go to my pivot table and hit "!" and it updates. How can I be certain its included everything from my range? Is there a way I can check the pivot table to see where the range is from?

Trying to create a basic pivot table from a CSV file for our users. What I've done in the past is open my CSV and then take the option Insert > Pivot Table to create the pivot table from the open CSV/worksheet. My question here is .... how can I save this .XLS and refresh the CSV data within? Or do I need to use an external data source? I don't want to have to use any drivers. I'd love to be able to just point to a CSV or TXT file on our server and that be that.
For something else I have used Web Query strings to point to .php scripts that send back data in XML format. Is this an option?
Again, the goal is for me to create a pivot table and just have our user's open it up and have current/refreshed data within. We can run jobs overnight or on-demand that update the data source.

Named my data range using this formula:
=OFFSET(Sheet1!$A$1,0,0,COUNTA(Sheet1!$A:$A),COUNTA(Sheet1!$1:$1))
I was hoping that my pivot table would refresh with the new data that I added on sheet 1 but it is not working and yes I have refreshed my pivot table. The new data is not capturing.
Is this the correct formula for Mac Excel 2011?

I have a pivot table that I refresh using .refresh in the VBA code.
My problem is that when I loop through all the PivotItems in a filter list in order to make all visible, there are PivotItem names that aren't in the drop down menu and so the code breaks.
Do I need to refresh the pivot table slightly differently than just using .refresh?

I've referenced a few threads this one in particular [Solved] Pivot Tables : Refresh on protected sheet
I've tried the example given in the link and it still does not work. I want to protect the sheets that contain pivot tables, but still be able to refresh them. When I try I get an error. I've tried this a few ways.
My first attempt was to protect the sheets using allowuserinterfaceonly at a workbook open event. This caused warnings as soon as the workbook was opened. Then I tried Dave's suggestion and I get a runtime error 1004: Cannot edit PivotTable on protected sheet.

I've got a workbook with a several pivot tables. For convenience, I've deleted the pivot table source and left the pivots "self-standing". Problem is now when I try to refresh the workbook, I get a "Reference is not valid" error which prevents the workbook from updating.

How can I refresh a pivot table automatically by changing a cell content (say B2 which contains text, not value) apart from using the refresh button?
Cell B2 is not part of the pivot table.

I have a workbook containing many pivot tables. When I create a pivot table everything works fine. When I close the workbook, reopen it, and refresh the pivot table, the new data will appear at the bottom of the table instead of being inserted in the proper row in the table. Since the table is no longer in sequential order my VLOOKUP functions don't work properly. What do I need to do to get the already established pivot table to refresh properly?

I have some code that runs and loops through each pivot table to refresh it; however, I remmed out the code so that it only loops once - telling it to refresh the first pivot; the thing I'm confused about is that after the code runs, it appears to have refreshed all my pivots. I think it's also important to note the each pivot table is linked to the same data source. (an external ds)
Maybe when this is the case, refresh will always refresh all?

On a worksheet, I created:
- a list of data
- a pivottable based on these data
When moving this worksheet this worksheet to another workbook, the pivot table can't refresh anymore. This throws an error message "Reference is not valid". To work around this problem I need to adapt the datasource. The same occurs if the list and the pivot table are on separate sheet, with the added strange behaviour that, when data an PT are split, it is not possible to move both sheet together.
This would not be a big issue if my problem had to be solved manually. The real problem is that I need to move the sheets from a C# program.

I have two fields in pivot table, "HATA TOPLAMI" and "SIRA NO". "Hata toplamı" is sum of items, and "Sıra no" is count of items. İ want to divide these two fields and add it to the pivot table, like "HATA TOPLAMI" / "SIRA NO". I have tried calculated field function from pivot table. İ wrote "="HATA TOPLAMI" / "SIRA NO"". But the summary is false. I want to divide Sum of "Hata toplamı" and count of "Sıra no" but instead it divides with sum of "sıra no". Is there a way to do this?

I've created a pivot table as shown in the attached image - I've had to hide most of the data but I'm not sure how confidential it is so thought I should play it safe.
excelforum.JPG
In between the Job Board Applications column and the Registrations column I want to have a Cost Per Application column.
In this fake example, the company that I've called 'Excel Forum' (imaginative I know) pay $1000 per month for their email marketing, so the cost per application from email would be 1000/1150 = $0.87.
Is there a way to insert a column in a pivot table that you can manually add formulas to?
I've tried replicating the pivot table underneath using cell=B6 etc. and the GETPIVOTDATA function then hiding the whole pivot table apart from the filters, but because there are a different number of subcategories every month the cell references don't work when the filter is changed.
I also tried to add a calculated field but this didn't seem to be what I wanted.
As a last resort I can add the cost per application manually to the raw data and include it as a column when making the pivot table, but this would be an ENORMOUS job to do every month so I'm in need of a better solution!

I have a PT with multiple data fields that I want to Rank individually and then give those ranks a weight percentage. Once I have that weighted rank, then I can sort PT items based on the rank.
Is there a way to do this inside the PT?
I.E.
Items are PNs
Data fields are NUMBER OF TRANSACTIONS, QTY SOLD, DOLLARS SOLD
I want to rank each field and then assign a weight to it. Then I can sort PT based on the RANK data field.

Ideally, this new metric should function just like the other fields in the pivot table, and not just static, because I'd like to break it out not just by Day, but also Time, etc.
Day
Count of Posts
Sum of Impressions
Impressions Per Post

In the attached Excel file, there is a pivot table.
In the Data part of the table, there are two columns. The second is the exact same field than the first one but expressed as percentage (Field settings/Options/Show field as "% of" + "Total".
The problem is: I don't want to express this field as a % of Total ('Grand total') but rather as a % of Subtotal (e.g. Danemark Total).

I'm looking for a way to refresh my pivotchart and update my pivot table data every time that a certain macro runs. I could just delete it and make a new one everytime but that runs in to the problem of defining a new sheet every time. Is there a simple way to do this. say I my pivot chart is on "Sheet 7" and it there is only one pivot chart in the workbook and my source sheet is on "Combined Data". and at the moment the data range is "A1:N435" and say next time I run my macro the data range will add 20 rows of data and the next 25.

I have some nominal data that I'd like to get into a pivot table (Excel 2013). For simplicity let's say it's a one-question survey with 6 respondents:
Q1: Dogs are better than Cats
Strongly Agree
Agree
Neither Agree or Disagree
Disagree
Strongly Disagree
Responses:
Agree
Strongly Agree
Strongly Agree
Strongly Agree
Agree
Strongly Agree
I can create a pivot table with this data and get the following:
Row Labels
Count of Q1
Strongly Agree
4
Agree
2
Grand Total
6
This all works nicely, however I require that the other options ("Neither Agree or Disagree", "Disagree", and "Strongly Disagree") be present, even if their values are 0, like the following:
Row Labels
Count of Q1
Strongly Agree
4
Agree
2
Neither Agree or Disagree
0
Disagree
0
Strongly Disagree
0
Grand Total
6
What I tried doing was adding a new column and calling it something like Ratings with the following:
Ratings
Strongly Agree
Agree
Neither Agree or Disagree
Disagree
Strongly Disagree
Then I set the Ratings column in the "Rows" section of the pivot table and the Count of Q1 column in the Values section. This is what happened:
Row Labels
Count of Q1
Strongly Agree
1
Agree
1
Neither Agree or Disagree
1
Disagree
1
Strongly Disagree
1
Grand Total
6

I have a problem as I need to present data with different data sources. I'd like the calculations to be as "automatic" as possible. The data consists of countries and regions and their sales pipe. The pivot table doesn't give me all the data that I need to present so I need to add extra columns with calculations and data from other data sources.
The problem I meet is that the 'total row' within each group needs to be reflected in my columns as well (F:G) It works as long as the data I've imported has the same amount of States within each group of Contry but if the number of states differs with the newly imported data - my "manual" columns are wrong.
(A;B;C;D;E;F;G;H)
Country;State; Red; Amber; Green; Quota; Total PV; Coverage;
I've created a Pivot table on the first 5 columns [Country; ...; Risk] (A:E)
The following columns are manually entered based on the pivot (F:H)
Quota (data source from another sheet)
Total PV (a sum of Red; Amber; Green in the Pivot)
Coverage (returns % of TotalPV/Quota)
For each group Quota and Total PV needs to summarize the above data within the group. I've 'hard coded it' today (SUM(F3:F5)) - F3:F5 can as well be F3:F8 or F3:F4 depending on the imported data. I have 8 different Countries (groups) with different amounts of States and 3 different sheets for each Region of countries so I need this summary to be automatic based on what group (Country) it belongs to. How can I make the calculation different so that it's dynamic as well as the Pivot table? Today it's not dynamic and it needs my 'hands on'.
Quota =IF(ISNUMBER(SEARCH("total";A6)); SUM(F3:F5); IF(ISNA(VLOOKUP(B6;Quota!B:F;3; FALSE));" ";
IF(VLOOKUP(B6;Quota!B:F;3; FALSE)=0; " ";(VLOOKUP(B6;Quota!B:F;3; FALSE))))).

How do I add a column between the years that will calculate the % change os sales up or down from the previous year?

I have enable Refresh on Open for my excel pivot table, but user need to click "Enable Automatic Refresh" , only solution i came across is to change the registry setting. Which i dont have access to edit registry(admin disable the access).
Alternate solution i try to use Access macro to automate the process and use Outputto save it as a excel file A. Then use excel file B to update pivot table from excel file A.(as excel A data is always latest)
The problem is i will get "....A file name already exist...do you want to overwrite.." prompt.
Which defeat the automate process.
Any other solution to enable the automatic refresh on open the excel workbook?
Or Access can overwrite the exist file or save it as another file name with timestamp ?

I manage a team that quote for business. They are targetted on number of quotes per month but then also wins per month, however a win may come a number of months after the original quote was generated.
They work off a spreadsheet where they log:
Quote date (And month)
Quote Value
... customer info etc
Win month (against orginal quote information)
Win value (against orginal quote information)
I started writing my pivot using the Quote month as the main reference point, IE Quote Month in the Row, and then put all the data in the central drop data section... However, there are two immediate problems with this:
They are targetted on quotes generated per month, some business won has come from last year, which they are lifting from the old spreadsheet and puttin in my new one... meaning that quotes they generated in Oct 2012 are now showing up as quotes for October this year.
If the wins span a number of months they are showing in January (if quoted in January) and not in March (when actually won)
Is there a better way of writing my pivot table??? There must be... ideally what I would like is half the table referencing the Quote date and half referencing the order date... but I don't know how to do this? I could probably do this with pages but I would like to show all on one sheet...
