Excel 2010 :: Extracting Data From Large Spreadsheet
Jan 31, 2014
I work with Excel 2010 and have a very large spreadsheet with data that I need to manipulate in several different ways. I have been filtering and then cutting and pasting but this is very time consuming . Is there a way to extract specific data from the spreadsheet and transfer it to different worksheets? I don't really know how to use macros.
I have a large spreadsheet which contains multiple rows of rate data by employee. I have sorted by effective date with most recent date on the top to get the most recent rate of pay, however, is there a way or formula to be able to identify or extract the previous rate of pay after that? I have included a sample below. There are different #'s of rows of rate of pay based on how long someone has been in company, as well as different rates of pay and effective dates.
I'm have Excel 2010 and Windows XP. Each week I get 3 spreadsheets and each has data unique to it. Each spreadsheet has a week number column which is common to all three. I want to combine the three worksheets into one and make create several dynamic charts for management. How should I organize a large spreadsheet? In addition to my week number I have a host of other date fields. Some of the data I get is (1) vehicle VIN numbers (2) City/State/Country (3a) I break up the VIN to give me vehicle type (3b) year of assembly (3c) car type (3d) number of doors (4) mileage (5) complaint (7) defect code etc. etc. What are the do's and don't when setting up a large spreadsheet? I have data by week which goes back to 2006 and so my date fields go top-down. I inherited the three spreadsheets and would like everything under one roof, so to speak. One spreadsheet which I can make my charts.
So in my excel document I have it such that on the first sheet (Labeled 'Sorted') the data is set up as follows: LOCATION, EXTENSION, NAMEWith the appropriate data under each header. On the second sheet (Labeled 'Locations_Ext') I have a named range called Locations; it contains extensions from a separate document, names of people associated with the extensions from the document, and their locations on the map. I am trying to have it such that the excel matches the extension number given on the first sheet with the ones that I extracted from the document on the second and output the location into the first column on the first sheet. The code I have set up for that process is:
=VLOOKUP(B(//SomeValue),Locations,1,FALSE)
I then want the excel to cross check the information that I took from the Visio to see if the visio is up to date with the latest info we have received (Which is the data on the first page under Extension and Name). The code:
I have been tasked with streamlining a process to collect data from a specific online website (Web of Science) and import it into an Excel 2010 spreadsheet.
Currently they are going to the website, entering a short number of search parameters and then manually recording the pertinent data from the webpage. They would like to be able to enter a keyword in Excel (which acts as the search item) which then automatically does the rest of the process and provides them with a spreadsheet of the required data.
Is this possible? Perhaps by using Visual Basic code within Excel? I also saw a method that employed SharePoint Server 2010.
I am working on Excel 2010. I want to find a way to link data from one spreadsheet to another one and whenever I update the first spreadsheet, the second one will be automatically updated?
I have a parent spreadsheet with raw data(with errors) and a child spreadsheet without errors. I want to merge the child into parent. (:{). I am thinking of comparing multiple columns from each sheet to ensure maximum accuracy. And when those columns match up we paste the corrected column data from child sheet to parent one. I am using windows 7 and Excel 2010.
I have a word template that gives a popup when started for the user to fill out. At present this is okay, but it is hard to maintain. So what I want is to be able to add all needed information in Excel - since our tools have the possibility to export my needed info to this.
I have a spreadsheet in Excel 2010 named 'Input TR'. This info I want in the popup macro in word. When choosing name from a dropdown menu - I want Excel to give me the choices instead of having it in the coded macro. After I have choosen the name - I want the product belonging for this name in the 'Product/Service:' dropdown menu, e.g Test 1 will give the value 1...5. (I will only be able to choose one of them)
Today - everything is coded in the word2010 macro, and thus difficult to maintain.
I've encountered another error when trying to run this macro to extract images from a spreadsheet. As the macro is running during the process it has stopped and I get the runtime error "1004": "Methid "Publish" of object "PublishObject" failed.
When I Debug it highlights the text below.
Sub Test() Dim Folder As String Dim Pic As Picture Dim FileName As String
[Code]....
Alternatively if I click "End" it opens an extra excel window and displays an image from the original sheet. With the workbook labelled as the product code.
I have inherited a series of Word reports containing links to charts in several Excel files. I can tell by the link in Word that one of the charts is named 'Chart 6'. Is there an easy way to locate which chart in the Excel file is 'Chart 6' (and on and on for all of the other charts linked in the Word doc)? There are upwards of 21 charts in each Excel file linked to each of the Word reports. I am using 2007 but the files are in 2003 format because of limitations of the program from which the data comes for the charts.
How do I make the column headings appear when I'm working on a large spread sheet so I don't have to scroll to the top each time to see where I am. This is on Excel 2007.
I have a very large spreadsheet that was exported from an ecommerce site with close to 1000 products. I have one column that I need to extract some text from. This column holds all of the html from the product description and is huge. I only need to extract the actual description of the product, but am having a very hard time figuring out how to do it. I've tried using the mid, left, and right function; but not all of the html is the same so it's not really working the way I need it to.
I have multiple tags throughout the html that I can use with the mid function, but there is more than one occurrence of them. So, how can I tell it to start at the 4th occurrence? I've spent countless hours searching, but I'm a complete novice when it comes to excel and I don't even know what to search for. I end up looking through sites that explain how to pull the Y out of XYZ, which is what I need, just on a much larger (and more complicated) scale.
It was suggested that I set up a macro that will find the 4th occurrence of the word, and then uses the mid function to pull the data out, but when I try to find the word, it says it doesn't exist even though I can see it right in front of me.
I am creating a spread sheet with a large amount of data.
In column a I have a list of managers, in B I have a list of employees and C, I have a list of activities that have been recorded throughout the day.
What I want to do is create a list (on a new sheet) so in column A that would bring back all the managers. Then in column B, bring back the employee that is tied to the manager from column A and finally in column C, bring back the activity that is tied to the employee.
I know how I can do this by doing list validation with INDIRECT, but with the large amount of data that I have this would take forever in a day.
I am using Excel 2010 on Windows 7. Here is a link to the worksheet I have a question about : Example.xlsx
The only two relevant sheets here are "TestScores" and "Area 1." What I am trying to do is copy names over from the TestScores sheet to the Area 1 sheet based their test scores. It is important to know that a passing score is anything 85 or above. If you don't pass Phase 1, you move onto Phase 2, and if you don't pass that you move onto Phase 3.
Let me first explain how the TestScores sheet works. Here is a screenshot of the sheet:
I copied in column C, the names, from a roster sheet. Columns A, B, and D all VLOOKUP information from the roster as well. You can ignore columns E & F. Column G is just a test name that is manually inserted. They are all in the same order since this is an example worksheet I am doing the program on before I input the real data. Column H is also manually inserted, with data validation to only allow values 0-100 and a few different relevant terms (MS, EXT ABS, N/E). These next two rows are the formulas in columns I and J, starting in row 3.
What these formulas do is the following: If N/E, MS, or EXT ABS is in column H, it copies those over to the next two columns. If someone scores 84 or below, it says "Need" in the next column. If they score 85 or above, it says "N/A (PASS) in the next column(s). The user is meant to write over these to insert the phase 2 and 3 scores.
Here is the "Area 1" spreadsheet I am working on that has the problem.
First off, I created these formulas by comparing them to another post and replacing my ranges and criteria. In column A, it returns all the names of Team Members who passed in Phase 1 (have a score 85+ in "TestScores" column H). The array formula is below and it works great.
In column E I have a similar formula, except it returns the names of those Team Members who have "Need" in column I of "TestScores." This formula also works great. The formula in column D is just a VLOOKUP based on column E and works well, too.
Here is where my problem is. In column F, I want to return all the names of people who passed Phase 2, which means they have a score of 85 or above in column I of the "TestScores" sheet. However, not only is it not returning the right names, I can't even figure out what criteria the names is returns has. The current list, in (mostly, oops) red, is incorrect. The formula, below, is almost the same as the formulas above, with only 1 difference in each case.
It refers to column I, instead of H, compared to the formula in column A. Its criteria is >=85 instead of ="Need", in comparison to the formula in column E. Nonetheless, it still isn't returning the right names! The other weird thing, is if I replace the ">=85" with "=90" it will return the names of team members who scored 90.
We want to extract the same letters with its numbers and put the same letters with numbers in one column and do this for all letters, but - this is important - while keeping them in their original row. The purpose of this is addition of data and easy rearrangement of the letter plus numbers order, e.g., to: B M N A T I W D Ḥ. As you can see not all the rows have all letters, nor are the seizes the same. There are thousands of such cells. Some parts are partly in bold, we want to maintain that layout after sorting. Such a thing should be easy for computers, but how could this extraction and manipulation be done (I have Excel 2010)?
P.S. There are two spaces after every ; that were eaten up here.
How do I enter a formula in excel 2010 that will give the total amount of times each number is in this group. Example : how many times (total) the number 12 showed up , how many times the number 27 showed, and so on for each number that is in the entire group of numbers, from 1 to 80 .
Here is the page I will copy and paste into a workbook sheet from the internet that i want to evaluate the times each number was called.
Very new to all this , I am a bit aged and need not to learn excel A to Z, just need to know what correct statements /formulas have to be entered to do what i desire.
I am only interested in the total count of the small bold numbers 1 to 80, each single digit 1 to 9 and double digits 10 to 80 will be in their separate cells. The large bold three digit numbers and dates/times will have to be erased (manually) before the calculation takes place.
My problem is I cannot copy from a Form Control drop down box, and I need to do this for ~10 drop down boxes in about 200 xls files. The files follow a template so the drop down button Inputs are uniform. Here is some more detail:
I’m building an Access Database so that our data (currently in many, many Excel Spreadsheets) can be efficiently queried. The old system was that when asset data was collected, the data would be entered into an Excel spreadsheet, using a Template. So for example:
Project A1234
Name Main Street Pipe High Street Pipe
Ref No. 12345 12346
Installation date 22/08/13 19/07/12
X Coordinate 55667 99212
Y Coordinate 77889 12364
We have hundreds of these files, but I managed to get all the files in one folder and Paste and Transpose the data from the relevant Cell Ranges in each file (using a VB sub) into ONE summary sheet. Success; or so I thought.
Unfortunately for one generation of the template (people changed them slightly every year), the template had people enter information into Drop Down Menus. Not a problem when they’re associated with a cell, but these were free floating Form Controls.. so you can’t actually click and copy from them, or call them in VB as you would a specific cell.. afaik.
So my issue is how can I extract the data from those Form Buttons? I’ll try and provide as much info as I can:
Firstly I tried to find some sort of identifier for each Form Button. The dropdowns are called Combo Boxes, (Developer tab > Insert > Combo Box (Form Control) ), and when you select them (by right clicking) and hit the View Code button in Developer Tab > Controls the following shows up in VB.
Sub DropDown44_Change()
End Sub
I’m guessing that the number is related to the button so that’s one useful thing, an identifier of sorts. There’s no actual code there though really from what I can see.. My problem is I have no idea how to extract from DropDown44!
The range of values in the drop down comes from a separate sheet where there’s just a list of the values. There aren’t any cells linked to the drop downs though. If I enter a cell in (Right Click) Format Control > Cell link: then it prints the number (e.g. 4) of the value in the range. So if the drop down options are “Monday”, “Tuesday”, “Wednesday”, “Thursday” and “Thursday” is selected, the linked cell says: “4”.
They didn’t link a cell, then I could call that cell in a VB sub and the job would be done. Unfortunately they didn’t, so I tried Recording a Macro and selecting the drop down form control.. That didn’t really work, except if I right clicked it, I got some more info from the macro VB:
ActiveSheet.Shapes.Range(Array("Drop Down 19")).Select
So is my drop down an Array? My understanding of an Array is that it’s a list of arguments.. all I get there is the name of the button. I am not experienced in VB so this is as far as I’ve got. Perhaps I can get a sub to select the button using the above line, but I need the info from it, i.e. which value is currently selected in the Drop Down.
(Using Excel 2010 but the .xls files are from ~2005)
Im using excel 2010. Im looking to have a map of the world in excel. I work in sales with 2 other people and we wish to divide the world up by countries.
It would be nice to have the names in a list and colours represent the countries.
I have a system running Windows 7 Professional (32 bit) and MS Office 2010.
In Excel 2010, I have a spreadsheet that contains several hundred rows of data. When I cut and paste a section of data, Excel jumps to the top of the spreadsheet. This does not happen when I copy/paste, just cut/paste.
Open a brand new spreadsheet whether the format is set to "General" or "Text" it will not let me enter numbers. For example, when I enter 2007 in the cell it displays 20 07 not really that big of space between the two zeros - but still a space. I can't format this no matter what I do.
As I understand it hyperlinks set in a spreadsheet should work regardless of where you save and/or copy the spreadsheet i.e. as long as the directory location of the location / file the hyperlink is referencing doesn't change (notwithstanding, the user must have appropriate access rights to the relevant directory locations)
However, the situation I have is the spreadsheet was generated and saved to directory location A (intention being this would be the 'master' yearly template) and the hyperlinks set, all of which work when you open the spreadsheet in this directory location. But when I copy the spreadsheet to directory location B, which is intended to be the yearly 'register' location for the spreadsheet, none of the hyperlinks work? When I hold my cursor over a link in the copied spreadsheet, in directory B, I do not get a 'pop-up' path like I do in directory A and when I click a link I get an error message:
Microsoft Excel The address of this site is not valid. Check the address and try again.
As stated above the documents the hyperlinks relate to have not moved, they remain in the same template directory (i.e. the link path has not altered).
We have a spreadsheet on a server location with macros. Different users will access the spreadsheet from one pc on different shifts. Is there a way to set the area as a Trust Location for all users on the PC or enable the macros in the spreadsheet to execute for all users without having to set up the spreadsheet trust location or macros for each user? I would like to have the spreadsheet accessable to any user on the PC without setting up individual access. The users can change for shift to shift.
